Regulations and Guidelines for Exhibitors

 

1. Allocation and Use of Exhibition Space

Applications for participation must be submitted using the official registration form. Based on product categories, registration timing, deposit payment, and exhibitors’ requirements, the Organizer will allocate booth locations on a “first-come, first-served” basis.

Exhibitors are not permitted to sublease, transfer, or assign their allocated booths, nor use the space for purposes other than the registered exhibition content.

3. Booth Handover

Booth or space handover will only be conducted after full payment (100%) has been completed.

  • Raw Space: Handover 2–3 days before the exhibition opening
  • Package Booth: Handover 1 day before the exhibition opening

All booth construction, decoration, and setup must be completed before 18:00 on the day prior to the opening date.


4. Exhibits

Detailed regulations regarding import, re-export, prohibited items, gifts, etc. will be specified in the Exhibitor’s Manual.


5. Transportation of Exhibits

The Organizer will assist exhibitors with procedures for transporting goods to the exhibition venue. However, exhibitors are responsible for all costs related to transportation, handling, storage, etc., and bear full responsibility for any risks or damages during transportation, display, and dismantling.


6. Booth Construction

Standard booths will be installed by the official contractor in coordination with the Organizer.

Custom-designed booths must comply with general architectural regulations and require prior approval of design drawings from the Organizer before construction.

The maximum booth height must not exceed 4 meters.

Exhibitors are responsible for clearing all waste materials at least 12 hours before the exhibition opening. The Organizer reserves the right to impose penalties for non-compliance.

Exhibitors must compensate for any damage caused to the exhibition venue.


7. Booth Operation

Exhibitor staff must wear badges at all times while present at the exhibition.

Staff must be present at least 30 minutes before opening hours and remain after closing each day to inspect and secure their booths.

In case of loss or damage, the scene must be preserved and reported immediately to the Organizer.

All exhibits and materials must be removed from the exhibition area within 3 days after the event concludes.


8. Security

The Organizer will provide 24/7 general security. However, exhibitors are responsible for safeguarding their own property during opening hours.

The Organizer shall not be liable for any loss or damage occurring during exhibition hours.

Only the Organizer is authorized to provide security services within the exhibition premises. Any temporary staff hired by exhibitors must be registered with the Secretariat for access badges.


9. Fire Prevention and Safety (Fire Protection)

The Organizer reserves the right to restrict or remove any hazardous or flammable materials from the exhibition area. Any costs incurred will be borne by the exhibitor.

Strictly prohibited:

  • Bringing flammable or explosive substances into the venue
  • Using electrical equipment for cooking, heating, or drying
  • Smoking during construction and dismantling periods

Before leaving the booth each day, exhibitors must check all electrical equipment and disconnect power sources.

In case of fire: immediately notify fire services, cut off electricity, use on-site fire extinguishers, and guide visitors to evacuate safely.

Note: Exhibits must not block aisles, emergency phones, fire extinguishers, or hydrants.


10. Insurance

Exhibitors are advised to obtain full insurance coverage for exhibits and equipment against loss, fire, theft, accidents, etc.

The Organizer also recommends purchasing third-party liability insurance covering the entire process of transportation, display, dismantling, and storage.


11. Changes to Date or Venue

If necessary, the Organizer reserves the right to change the venue or schedule and will notify exhibitors at least one month in advance.

The booth rental contract shall remain valid for the revised time or location.


12. Utilities (Electricity & Water)

Only the Organizer and official contractors are authorized to install electrical and water systems within the exhibition area.

During setup and dismantling periods, electricity will be supplied based on prior registration.


13. Right of Admission

The Organizer reserves the right to deny entry to any individual or organization upon request from authorities, in order to ensure the overall interests and safety of the exhibition.


14. Violations

In case of any violation of these regulations, the Organizer reserves the right to immediately close the booth, and the exhibitor shall bear full legal responsibility for their actions.


15. Additional Regulations

Where necessary to ensure smooth event management, the Organizer reserves the right to issue additional regulations. Exhibitors are required to fully comply with all such regulations.
